Thank you for choosing to book with Kelly Jarvis. These Terms & Conditions apply to relevant classes, workshops, day retreats, Bhakti/Kirtan immersions and trainings, grief tending sessions and retreats offered by Kelly Jarvis.
Please read these terms carefully before making a booking.
1. Bookings
Your place is confirmed once the required payment or deposit has been received and your booking has been accepted.
By making a booking, you confirm that you have read and agree to the Terms & Conditions applicable to your chosen service or event.
2. Payments & Deposits
The price, deposit and payment schedule for each event, retreat, course or service will be stated on the relevant booking page or communicated to you before booking.
Where a non-refundable deposit is required, this will be clearly stated before payment.
Any remaining balance must be paid by the specified due date unless an alternative payment arrangement has been agreed in writing.
3. Cancellations by You
Please contact me as soon as possible if you need to cancel.
Cancellation and refund arrangements may vary depending on the particular event, retreat, training or service and will be stated at the point of booking.
Where a booking is described as non-refundable, payments will not normally be refunded if you decide not to attend, subject always to your rights under applicable UK consumer law.
For certain retreats, trainings or immersions, if your place can be successfully filled by another participant, I may be able to offer a refund in accordance with the specific cancellation terms provided when you booked.
Any non-refundable deposit will remain non-refundable where permitted by law and as stated at the point of booking.
4. Cancellations or Changes by Kelly Jarvis
Occasionally, an event, course, retreat or appointment may need to be changed, postponed or cancelled.
If I cancel an event or service for reasons within my control, I will communicate the options available to you, which may include rearrangement, credit or an appropriate refund.
I am not responsible for consequential costs such as travel, accommodation, flights or other arrangements you have made independently, except where the law requires otherwise.
5. Circumstances Outside My Control
Events can occasionally be affected by circumstances outside reasonable control, including severe weather, natural disasters, fire, war, civil unrest, government restrictions, epidemics or pandemics, transport disruption, venue closure or other serious unforeseen circumstances.
Where this happens, I will make reasonable efforts to communicate with participants and consider appropriate alternatives.
Refunds cannot simply be excluded where UK law gives you a right to one. Any decision regarding cancellation, postponement, credit or refund will therefore be made in accordance with the circumstances, the specific booking terms and applicable consumer law.
For residential and international retreats, you are strongly advised to obtain appropriate travel insurance as soon as you book.
6. Travel Insurance
For international or residential retreats and trainings, participants are responsible for arranging appropriate insurance for their circumstances.
Your policy should, where appropriate, cover cancellation, illness, medical treatment, travel disruption, lost belongings and circumstances that may prevent you from travelling.
Please read your insurer's terms carefully, as policies and exclusions vary.
7. Health & Participation
You are responsible for deciding whether you are physically and emotionally able to participate in the activities you book.
Depending on the offering, activities may include yoga, movement, meditation, breath practices, mantra, Kirtan, singing, voice work, Yoga Nidra, reflective exercises and other embodied or contemplative practices.
Please inform me of relevant injuries, medical conditions, pregnancy, recent surgery, accessibility requirements or other circumstances that may affect your safe participation.
If you are unsure whether an activity is appropriate for you, please seek advice from an appropriate healthcare professional.
8. Personal Responsibility
You are encouraged to listen to your body and participate within your own limits.
You may modify, pause or choose not to participate in an activity.
Please stop if you experience pain, dizziness, significant discomfort, vocal strain or feel unwell.
Participation in physical and experiential activities carries some inherent risk. Reasonable care will be taken when facilitating activities, but participants remain responsible for making appropriate choices about their own participation.
Nothing in these Terms & Conditions excludes or restricts liability where it would be unlawful to do so.
9. Grief Tending & Emotional Wellbeing
Grief tending provides supportive space for experiences of grief, loss and transition.
Grief tending is not an emergency service and is not a replacement for medical care, psychiatric care or psychotherapy.
If your needs fall outside the scope of the support I provide, I may encourage you to seek support from another appropriately qualified professional.
If you are experiencing an immediate mental health crisis or there is an immediate risk of harm, please contact an appropriate emergency or crisis service.
Clients undertaking individual grief tending work will receive a separate Client Agreement & Informed Consent document.
10. Retreats, Accommodation & Third-Party Providers
Where accommodation, catering, transport, treatments, excursions or other services are provided by a third party, their own terms and responsibilities may also apply.
Please notify me in advance of relevant allergies, dietary requirements or accessibility needs.
Reasonable efforts will be made to accommodate requirements, but I cannot guarantee an allergen-free environment where food is prepared by a third-party venue or caterer.
11. Personal Belongings
You are responsible for taking reasonable care of your own belongings at classes, retreats, trainings and events.
12. Behaviour & Respect
I aim to provide respectful, inclusive and supportive environments.
Participants are expected to behave respectfully towards other participants, facilitators, venue staff and members of the wider community.
I reserve the right to take appropriate action where behaviour creates a serious safety concern or significantly disrupts the wellbeing of the group.
13. Photography & Video
Photographs or short videos may occasionally be taken at events, retreats or trainings.
Where you are identifiable and the material is intended for promotional use, appropriate consent will be sought.
You may decline promotional photography or filming without this affecting your ability to participate.
14. Privacy
Personal information is handled in accordance with my Privacy Notice.
Where relevant to safe participation, I may ask you to provide information such as emergency contact details, allergies, injuries, accessibility requirements or relevant health information.

15. Changes to These Terms
These Terms & Conditions may be updated occasionally to reflect changes to my services, business practices or legal requirements.
The terms applicable to your booking will be those provided or made available to you at the relevant time.
